Cimbiotic provides independent AI assurance to associations and non-profits. We try to collect as little as we need. ## Who we are Cimbiotic (“we”, “us”) is operated by **Cimbiotic, LLC, 500 Westover Drive, Suite 36579, Sanford, NC 27330, USA**. You can reach us at [info@cimbiotic.ai](mailto:info@cimbiotic.ai). ## What this policy covers, and what it does not This policy covers visitors to this website and people who contact us through it. It does not cover information we receive while carrying out a client engagement (for example an AI Assessment, CimAssure testing or advisory work). That information is handled under the written agreement with the client and is kept confidential to that client. ## Information we collect **Information you give us** - **Contact and scheduling.** If you book a call or send us a message, we receive your name, email address, organization and anything you write. Scheduling may be handled by Calendly or HubSpot Meetings, which receive that information directly. - **AI Trust Readiness Scorecard.** If you complete the Scorecard, we receive your answers and any contact details you choose to provide. Your answers are collected so that we can show you a result. An email address is needed only if you ask us to email you a copy; you can print or save your result in your browser instead. - **Email.** If you write to us, we keep the correspondence. **Information collected automatically** If you accept analytics cookies, HubSpot and Google Analytics collect information about your visit: pages viewed, the page or site that referred you, approximate location, device and browser type, and your IP address. If you decline, we do not set analytics cookies and Google Analytics is not loaded. Our fonts are served from our own site, so loading them does not send your information to a third party. ## Cookies - **Strictly necessary** cookies make the site and consent banner work. - **Analytics** cookies (HubSpot and Google Analytics 4) help us see which pages are useful. They are off unless you accept them. We honor the Global Privacy Control browser signal as a decline of non-essential cookies. You can change your choice at any time with the cookie settings link, or by clearing cookies in your browser. ## How we use information - To respond to you and schedule conversations - To deliver and improve our services and this website - To understand which content is useful, in aggregate - To send you information about our services, only where you have asked for it or the law allows, with an unsubscribe option in every message - To meet legal obligations and protect our rights We do not sell personal information, and we do not use it to train AI models. ## Who we share it with We use service providers who process information on our behalf, including HubSpot (website, forms, analytics, email), Google (Google Analytics) and Calendly (scheduling). They may use it only to provide their services to us. We may also disclose information if required by law or to protect rights and safety. Links to other sites, such as LinkedIn, are governed by those sites’ own policies. Some providers are located outside your country, including in the United States. Where required, we rely on appropriate safeguards for those transfers. ## How long we keep it We keep contact and inquiry records until you ask us to delete them, unless the law requires us to keep them longer. ## Your choices and rights Depending on where you live, you may have the right to access, correct or delete your personal information, to object to or restrict certain uses, to withdraw consent, to receive a copy, and to complain to a regulator. We will not treat you differently for exercising a privacy right. ## Security We use reasonable technical and organizational measures, and rely on our providers’ security controls. No system is completely secure, so we cannot promise absolute protection. ## Children This site is for professionals and is not directed to children under 16. We do not knowingly collect their information. ## Changes We may update this policy. The “Last updated” date shows the latest version.
