# How to find the AI already running in your association

**The short answer:** you find it by asking four groups of people the same plain question, and by writing the answers down in one place. The groups are your software vendors, your staff, your volunteers and committees, and anyone who runs your credentialing or exam programs. The result is an inventory, and it is the first document any honest statement about your AI use depends on.

Executives are often surprised by their own inventory. The list of AI tools the organization chose is short. The list of AI features running in tools it already had is longer, and the list of tools staff adopted on their own is longer still. None of these lists is complete until someone asks.

## Start with vendors

Your association management system, learning platform, email tool, community software, events system and website platform have almost certainly added AI features. Some of them arrived switched on. ## Then staff

People use AI to draft emails, summarize meetings, clean up spreadsheets and write first versions of articles. Usually the intent is good and the organization never approved it. A blame-free question works best: what do you use to get your work done faster? Ask it of every department, including finance and events, not just communications.

## Then volunteers and committees

Committee chairs, authors, reviewers and award judges handle member and applicant information and often use their own tools. If a volunteer pastes a draft standard, a candidate file or a peer-review submission into a public AI service, that is your organization's information leaving your control, whatever the volunteer intended.

## Do not skip certification and exam programs

If you credential people, AI may already be involved in item writing, exam preparation, proctoring or eligibility screening. Those programs carry the most consequential decisions you make about individuals, so they deserve their own line in the inventory. ## A short inventory template

One row per AI use. Seven columns are enough to start:

1. **What it is.** The tool or feature, and who supplies it.
2. **What it is used for.** The function, in plain words.
3. **Who uses it.** A department or role, not a person's name.
4. **What data it touches.** Member records, payment details, applicant files, public content only, or none.
5. **Whether a person reviews the output.** Always, sometimes or never.
6. **Who approved it.** A named role, or "no one", which is a perfectly useful answer.
7. **Whether members can see it.** Is it member-facing, and is that disclosed?

Resist the urge to score or rank anything at this stage. The goal of the first pass is completeness, not judgment.

## Common questions

**How long does this take?** A first pass for a small or mid-sized association is often a few days of actual effort spread over a few weeks, mostly waiting for vendor replies.

**What if someone does not want to admit they use it?** Make the question safe. People disclose when disclosure is not a confession.

**Who owns the inventory?** One named role, usually reporting to the chief staff executive. An inventory nobody owns goes stale within a quarter.

**How current does it need to be?** Review it whenever a vendor announces a change or a new tool is adopted, and at least once a year.

## What we do not know

We have no dataset on how many AI uses a typical association has, and any figure you see quoted should be treated with suspicion. What we can say is that organizations that look systematically tend to find more than they expected, and that the first inventory is mostly a discovery exercise.
